Configuration and Document Control Specialist

Torrance, CA
Full Time
Contracts and Admin
Mid Level
Intellisense Systems, Inc. is a privately held, Southern California-based technology innovator with a proven track record of developing and deploying innovative products that successfully operate in the most extreme environments. We solve tough, mission-critical challenges for our customers in the aerospace, defense, and commercial markets, delivering the full data continuum from sensing and embedded processing to video integration, displays, and data/video recording and storage for airborne and ground vehicle platforms. Our portfolio also includes environmental and maritime sensing and smart power management systems, engineered to the highest levels of safety certification and built with embedded cybersecurity and advanced encryption capabilities.

We are seeking an exceptional Configuration & Document Control Specialist to join our Quality Assurance Team in our Contracts and Admin Department. You will own the engineering change order (ECO) process from initiation through release, and administer our Product Data Management (PDM) vault to ensure drawings, specifications, and related documentation remain accurate, controlled, and readily accessible. Drawing creation and drawing origination remain with the engineering divisions. This role is central to maintaining data integrity across Engineering, Manufacturing, and Quality, and directly supports our AS9100-compliant configuration and document control processes. You will also use SOLIDWORKS to make minor drawing updates in support of approved changes. Prior experience with a PDM or PLM system (e.g., SOLIDWORKS PDM, Arena, Agile, Windchill) is required; experience administering vault structure, workflows, or user permissions is a plus. This position is structured as a development path to Configuration Manager: as you build proficiency, you will take on progressively broader configuration management responsibilities across hardware and software configuration items.

Location: Torrance, CA (Onsite)

Responsibilities:
  • Administer and maintain the PDM vault, including folder structure, file states, workflows, revision schemes, and user access permissions.
  • Process engineering change requests and orders (ECRs/ECOs/ECNs) from initiation through disposition, ensuring proper routing, approvals, and timely release, and track implementation of approved changes to closure.
  • Review incoming change requests for completeness and accuracy, and coordinate with Engineering, Manufacturing, and Quality to resolve discrepancies prior to release.
  • Support change impact analysis by compiling affected drawings, BOMs, and documentation for Engineering review.
  • Make minor drawing updates in SOLIDWORKS (e.g., notes, title and revision blocks, incorporation of approved redlines) in accordance with approved change orders, and route updated drawings through the PDM workflow for check and release.
  • Serve as change coordinator for Change Control Board (CCB) meetings: prepare agendas, record decisions and action items, and verify that approved changes are implemented correctly.
  • Maintain configuration status accounting records for assigned configuration items, including released baselines, current revision status, and change effectivity.
  • Maintain document control of drawings, specifications, BOMs, work instructions, and related records in accordance with the AS9100 Quality Management System.
  • Ensure proper revision control, part numbering, and traceability of released documentation.
  • Perform check-in/check-out administration, data migrations, and periodic vault audits to identify and correct data integrity issues.
  • Generate and distribute change order status reports and metrics (e.g., cycle time, open ECOs, aging) to stakeholders and leadership.
  • Train and support internal users on PDM vault navigation, check-in/check-out procedures, and the change order process.
  • Support internal and customer audits, including Functional and Physical Configuration Audits (FCA/PCA), by retrieving and presenting controlled documentation and change history as requested.
  • Collaborate with IT and Engineering to troubleshoot vault issues, and support system upgrades or migrations as needed.
  • Maintain obsolete/superseded documentation archives per record retention requirements.
  • This position requires access to US Export Controlled Information.

Requirements:
  • High school diploma or equivalent required; Associate’s or Bachelor’s degree a plus.
  • 2+ years of experience in document control, configuration management, or a documentation specialist role, preferably in an aerospace, defense, or manufacturing environment.
  • Hands-on experience with a PDM or PLM system (e.g., SOLIDWORKS PDM, Arena, Agile, Windchill) required; vault administration experience strongly preferred.
  • Working knowledge of engineering change order (ECO/ECN) processes and revision control practices.
  • Ability to read and interpret engineering drawings, BOMs, and specifications.
  • Working knowledge of SOLIDWORKS sufficient to make minor drawing updates; familiarity with ASME Y14 drawing standards a plus.
  • Familiarity with AS9100 or ISO 9001 document control and configuration management requirements, and with CM standards such as EIA-649 and MIL-HDBK-61, is a plus.
  • Strong organizational skills and high attention to detail, with the ability to manage multiple concurrent change orders.
  • Proficiency with Microsoft Office (Excel, Word, Outlook); ERP/MRP system experience a plus.
  • Effective written and verbal communication skills, with the ability to work cross-functionally with Engineering, Manufacturing, and Quality.
  • Interest in growing into a Configuration Manager role; exposure to software version control (e.g., Git/Gitea) or CM certification (e.g., CMPIC) a plus.
What You Could Expect:
  • The freedom to take risks, to innovate, and to be rewarded.
  • Partner with trusting leadership that approaches tasks and requests with urgency.
  • Deliver products that are continually recognized as industry disruptors.

Why are you being asked to complete this form?

We are a federal contractor or subcontractor. The law requires us to provide equal employment opportunity to qualified people with disabilities. Completing this form is voluntary, and we hope that you will choose to do so. Your answer is confidential. No one who makes hiring decisions will see it. Your decision to complete the form and your answer will not harm you in any way. If you want to learn more about the law or this form, visit the U.S. Department of Labor’s Office of Federal Contract Compliance Programs (OFCCP) website at www.dol.gov/ofccp.
